How to Run a Youth Athlete Testing Day: A Facility Operator's Playbook

Why Run a Testing Day At All
A youth athlete testing day is the fastest way to turn open floor time into a full room, a stack of new leads, and real numbers to program from. In our experience running testing days, they do three jobs at once: they give coaches a baseline for every athlete on the roster, they give parents something concrete to look at besides a monthly invoice, and they bring in athletes who have never set foot in the building before.
The format itself is simple. Athletes rotate through a short battery of physical tests - jump, sprint, change of direction, strength - and walk away with a set of numbers. What you do with those numbers after the event matters more than the event itself. Run it well once and you have a repeatable product: the same battery, run again in three or six months, becomes a progress report a parent can actually see. Choosing Your Test Battery
More tests is not better. Every extra station adds setup time, staff, and a longer day for a 12-year-old who has already been standing around a gym for two hours. We run five tests, in this order:
- Vertical jump - a counter-movement jump off a jump mat or Vertec. Tells you lower-body power.
- Broad jump - a standing long jump for two-leg horizontal power, easy to standardize with a tape measure.
- Sprint - a short sprint over a fixed distance, timed with gates or a stopwatch, for acceleration.
- Change of direction - a pro-agility style shuttle for lateral speed and control.
- Grip strength - a hand dynamometer, quick to run, and a decent proxy for overall strength in younger athletes.
We picked these five because each one is fast to administer, hard to fake, and tied directly to something a coach actually trains: jump height to lower-body power, sprint time to acceleration, the shuttle to change of direction, grip to general strength. Resist the urge to add a trendy test because it looks good on video - a station that takes ten minutes to explain eats into the time you have for everything else, and a test nobody can administer consistently is worse than no test at all.

Scheduling Around the Season
Timing matters almost as much as the tests themselves. In Ontario, minor hockey spring evaluations begin the Monday following OHF Championships in April, which gives you a fixed deadline to build backward from. A testing day held four to six weeks before tryouts gives an athlete enough runway to act on the results - add a few inches to a broad jump, shave tenths off a shuttle time - without being so early that the numbers are stale by the time evaluations start.

Station Setup and Athlete Flow
Set up stations in a loop, not a straight line, so athletes never have to backtrack through a station that is mid-test. Give each station enough physical separation that a sprint at station 3 does not run through the landing area for the broad jump at station 2 - cramped setups are where most safety issues at a testing day actually happen. We run ours in this order:

Batch athletes into groups of four to six and send each group to a different station at the same time, then rotate everyone on a whistle. That keeps the whole room moving instead of one athlete testing while twenty others wait in a line, and it gives you a natural checkpoint every few minutes to catch a station falling behind before it backs up the whole rotation.
Staffing and Time Per Athlete
A simple staffing rule of thumb: run one coach per station as the test administrator, plus one runner who moves groups and calls the rotation, plus one person on a laptop or tablet entering scores as they happen. For a group of 40 athletes, that pattern keeps all five stations running in parallel rather than one athlete testing while everyone else waits in line, with transition time between stations built into the rotation.
If you are short-staffed, pull in a senior athlete or a parent volunteer to run the timer and call rotations - that role does not require technical judgment, just consistency. Keep every test administration role staffed by a coach, since that is where standardization actually happens.
Enter scores live instead of on paper. A coach who has to re-key forty paper score sheets after the event loses an evening, and transcription errors are how you end up telling a parent their kid jumped six inches higher than they actually did.
Common Mistakes We See
The same handful of mistakes show up at almost every first-time testing day:
- No standardized instructions. If station 1 counts a step-in on the broad jump and station 2 does not, your numbers are not comparable athlete to athlete.
- No warm-up window. Cold hamstrings on the first sprint attempt is how you get an athlete's worst score logged as their real number.
- Overbooking the day. Cramming 60 athletes into a 90-minute window forces you to rush stations, which is exactly where measurement error creeps in.
- No calibration between stations. Two stopwatches started a half-second apart, or two staff eyeballing a foot fault differently, produce scores you cannot trust across the room.
- No timeline for results. Telling parents that results are coming soon and then taking three weeks kills the momentum a testing day creates. Set a date and hit it.
- No plan for the data afterward. A spreadsheet of numbers that never reaches a parent is a missed follow-up, not a finished project.

The testing day itself is one afternoon. What makes it worth repeating is what happens after: results turn into something an athlete and a parent actually want to look at, not a printout left on the passenger seat.
