Does the Software Bill Drop When the Roster Shrinks?

The Short Answer
Yes. On L4, the facility tier moves in both directions automatically. If the active count falls into a lower rung, the next invoice drops. You do not call anyone. You do not open a support ticket. You do not re-negotiate a contract because the season ended.
The change does not land mid-cycle as a surprise proration. It takes effect on the next invoice. The current cycle stays put. The following cycle follows the real active count.
What about summer when athletes leave?
Many youth gyms see the name list grow in winter and shrink in summer. That name list is not the L4 bill.
L4 looks at who trained in the last 90 days or who is on a current program. If summer athletes stop training and leave programs, the active count can fall on the next invoice. Quiet months can put a gym back under 25 actives, which is free for the facility plan.
Roster export size alone does not set the rung. Training and program assignment do.
What the Rungs Are
The facility subscription is priced in CAD plus applicable tax. Confirm the current numbers on l4performance.ca/l4 before you plan around them.
- Free under 25 active athletes
- $99.99 per month up to 500
- $139.99 for 501 to 1,000
- $199.99 for 1,001 to 2,000
Tiers move up the same way they move down. Cross from 500 to 501 active athletes and the next invoice is $139.99. Fall from 501 back to 500 or below and the next invoice is $99.99. Fall under 25 and the next invoice is free.
Booking is a separate optional add-on at $100 CAD per month. That line does not ride the athlete rungs. See Is booking included, or an add-on?
The Number That Has to Fall Is the Active Number
The bill does not drop because you feel quieter. It drops because the active count crossed a rung.
On L4, an athlete is active if they completed a training session in the last 90 days, or if they currently hold an active program assignment. Archive someone and they stop counting the same day. They count again later if they train or get a program assignment. The full test is on What counts as an active athlete?
That is why a seasonal roster can move the invoice without a cleanup project. After a block ends, athletes who stop training age out of the 90-day window. Athletes you archive drop off that day. If the remaining active count sits in a lower rung, the next invoice follows it.
If you never archive, the 90-day session test still applies on its own. Archive is the fast path, not the only path.
If you already know your roster size and how many athletes trained in the last 90 days, use the gym software pricing calculator to see the L4 estimate next to those numbers.
What "Next Invoice" Means in Practice
No mid-cycle proration is a predictability rule. If your active count crosses a boundary on a Tuesday, this month's invoice does not get rewritten on Wednesday. The current bill stays the bill you already have. The next one uses the new rung.
That works in both directions. A mid-cycle spike does not produce a surprise top-up. A mid-cycle drop does not produce a mid-cycle credit. The step happens on the next invoice.
If you are comparing vendors, ask this as a written question: if our count falls into a lower tier, does the price fall, and on which invoice? A plan that only ratchets up is still a tax on the quieter months. That is the same problem laid out in Why You Should Not Pay for Athletes Who Are Not Training.
What This Page Is Not Saying
Strength and conditioning software your coaches run the floor on, with an athlete and parent app that creates new revenue for your facility.
Strength and conditioning software
This is the facility subscription, the bill the gym pays for the product. It is not the parent-facing layer. Families who choose Premium or a home program pay those on their own. The facility gets a share of those purchases. That is a different money flow, covered in Who pays for gym software? and What can a parent see without paying?
L4 does not take a percentage of booking revenue. Booking payments go to the facility's own payment account. That question is Does the platform take a booking cut?
L4 is built for youth athletes training in a facility, plus a parent portal. It is not a program marketplace for athletes who never enter the building, and it is not lab-grade force-plate hardware. The rungs above are for the in-facility roster, counted as active.
For the rest of the checklist, see Questions to ask any gym software. The wider picture is in the gym revenue and software guide.

Frequently asked questions
Does the L4 facility bill drop when the roster shrinks?
Yes. Tiers move in both directions automatically. If the active count falls into a lower rung, the next invoice drops. You do not call anyone or open a support ticket.
Does the price change mid-cycle?
No. There is no mid-cycle proration. The current cycle stays put. The change takes effect on the next invoice.
What number has to fall for the bill to drop?
The active count, not the feeling that the building is quieter. An athlete is active if they completed a training session in the last 90 days or currently hold an active program assignment.
Does the booking add-on drop when the roster shrinks?
No. Booking is a separate optional add-on at $100 CAD per month. That line does not ride the athlete rungs. It is on or it is off.
Do summer athletes who stop training stay on my bill?
Not if they stop training and leave programs. L4 counts athletes who trained in the last 90 days or who are on a current program. A name that only sits on an old roster list does not keep the bill high by itself.
Can a quiet summer put us back under the free tier?
Yes, if the active count (trained in 90 days or on a current program) falls under 25. The change shows on the next invoice, not mid-cycle. Use the pricing calculator with a quiet-month estimate before you plan cash.

What Counts as an Active Athlete?
On L4, an athlete is active if they trained in the last 90 days or hold a current program assignment, not because their name is still on the roster.
Why You Should Not Pay for Athletes Who Are Not Training
Most facility software bills the whole roster. Active-athlete pricing drops names who have not trained, so a seasonal youth roster stops inflating the bill.
